Privacy Policy

Breakout Run B.V. collects for optimal participation in and experience of our event personal data from you as a participant/visitor. We hereby explain how we use this data.

Who processes your data ?

Breakout Run B.V. is responsible for the management of your personal data. Breakout Run is thus the data controller in the sense of the General Data Protection Regulation (AVG) and related implementing laws.

For what purposes do we use your data?

We use your data:

  1. for the performance of your contract with us and more particularly:
    • To manage your registrations, to receive your payments and to provide a customer support, among others to provide customer service communication (including by email or other means), such as to send you the confirmations of registration as well as the reminders for the events and to manage the possible requests regarding accessibility and to manage cashless payments;
    • Upon arrival at the event, authenticate you as a ticket holder, in part to deter fraud and ticket trafficking;
    • Manage the conduct of the event, and among other things, to allow for the location of participants and for the security of the event (in performance and in case of emergencies);
    • To take photos, videos and audiovisual material of the event, with the possibility of seeing yourself back;
    • The public announcement and photos, videos or audiovisual material on the event website, on the Breakout Run website (www.breakoutrun.nl) and IJzeren Man Vught (www.ijzerenman.nl) or other media channels.
  2. For the fulfilment of our businessinterests:
    • To inform you about our other events and activities that may be of interest to you. You can unsubscribe from our newsletter at any time if you do not wish to receive such information;
    • To use photos, videos, printed material etc. on which you are depicted for atmospheric images, for the promotion of the event and its following editions (including on social media);
    • To provide you with information about the services and products of the partners and sponsors with whom we work for the event you participate in;
    • For analysis and market research to improve and adapt our products, events and services;
    • To prevent and detect illegal behavior, to defend or enforce our rights or in other cases permitted by law. For example, to ensure that tickets are in the hands of the actual fans and participants. In this context we may use your data to prevent the resale of tickets, infringements on our intellectual property rights (e.g. our trademark rights or those of our partners), fraud or other criminal offenses;
    • To build your profile to help us adapt our services to you;

    We have a legitimate interest in keeping in touch with the participants in our events and to promote and to improve our events.

    For photos videos and other audiovisual materials that are not mood images and that clearly aim at using and promotion your image as a central figure, your consent will be requested if used for promotional purposes.

  3. And, possible provided you have consented hereto:
    • To process your health data to respond to requests for accessibility or allergies;
    • To transfer your data to the partners and sponsors with whom we work to allow them to provide you with information about their services and products;
    • To allow the other companies of the Golazo Group to send you information about the sports events they organize;
    • To contact you as a participant with information or actions related to the Breakout Run. This can be done via email, the website or social media. 
    • To pass on your data to partners, for further use by them (including photos and other audiovisual material in which you are depicted centrally);

    You always have the right to withdraw your consent.

 

Which data do we use ?

We use the data entered during the registration process, including:

  • Name and surname ;
  • Date of birth;
  • Address, postal code, city, country ;
  • E-mail address;
  • Telephone number;
  • Name and phone number for urgent calls;
  • Participant number;
  • Payment and billing details;
  • The number and type of tickets purchased;
  • Information you send us as part of your communications with us.

In addition to this information, we sometimes use the following personal data:

  • Photos, videos and other audiovisual footage;
  • Possible localization (track and trace) during the event;
  • When you attend one of our events, we may collect your data through (i) video surveillance cameras (we use signs where such cameras are used), and, (ii) through cashless payments (card/wristband) that may be used to gain access to events and to make on-site purchases during the event at the hospitality outlets;
  • When you use our website(s), we collect information such as the browser and device you use, your IP address, your location, the site you came from, what you did and did not do on our site, or the site you visit when you leave us.   • When you use a social media feature within our website, and you post on social media, the social media site will provide us with some information about you.
  • If you have accessibility requirements, we want to make sure you have the best experience attending events. To do this, we need to collect details of your requirements (which may potentially include providing information about your mental or physical health);
  • In those cases where we collect personal information from children (Family Run), we always seek parental/legal guardian consent and such information is always collected solely for the purposes specified at the time of collection.

How long will this data be kept and your information maintained?

We retain your information for no longer than is necessary (i) to provide you with the services you have requested, (ii) for the purposes described in this policy, and (iii) for the legal purposes for which we are required to retain the information.

If we collect images from security cameras, we will keep them for a maximum of one month after the event.

Your details (last name, first name, e-mail and event for which you have registered) are stored indefinitely to inform you about other events. You have the right to, at any time, request not to receive such information. Your contact information will then be deleted.

Photographs and other audiovisual footage taken may be used indefinitely for promotional and atmospheric purposes.

Who do we share your information with and why?

We use third parties, subcontractors, external service providers, other agencies and companies within the Golazo Group, who specialize in certain tasks:

  • Taking pictures, technical support, marketing, reporting, offering VIP packages, etc;
  • Cloud service providers that provide IT-infrastructure on which our products and services are built;
  • Our co-sponsors and partners for events that organize or provide specific services during an event;
  • Third parties who deliver the services and products you have purchased (e.g. merchandising products) so that they can process and deliver your orders ;
  • The people who would be the successors of our company or part of it.

We have made the necessary arrangements with these third parties: they will only process your data for the performance of their agreement with us.

Certain subcontractors process your data outside the EU: specific protection measures have been taken for these: either they are located in countries that offer an adequate level of protection for your data, or we have agreed so-called "standard contractual clauses" with them. If we use processors based in the United States, they may also be covered by the "Privacy Shield" program. We will not share your information with third parties except:

  • Government or other authorized agencies where permitted or required by law or for medical or safety reasons (e.g. if you should feel unwell during the event);
  • For publication of photos, videos or other audiovisual material in the various communication channels of the event;
  • If you have agreed with this transfer.

Promotional images and mood images, including photos and other audiovisual material, are shared with the public and on social media channels. .

Your rights !

You have the right to access your personal data and have them corrected. You also have the right in certain circumstances, to oppose their use or request their deletion and the right to request a limitation of processing, as well as the right to request the transfer of your data, in accordance with Articles 15 to 20 of the RGPD (General Regulation on Data Protection).

You also have the right to oppose their use for direct marketing purposes, free of charge.

To exercise the above rights, send an e-mail to info@breakoutrun.nl with your surname, name and the name of the event you attended. A proof of your identity may be requested.

Please note that some Personal Data may be excluded from the right of access, correction, objection, destruction or deletion, in accordance with applicable law.

Use of photographs and videos.

Photographs, videos and other audiovisual material will be taken during the event.

The event takes place in a publicly accessible place. By participating in a public event, you accept that photographs and other audiovisual material will be taken of the event in which you are visible, but in which the footage will not be built around your person as the central figure. We have a legitimate interest in using such photographs and audio-visual material for promotion and experience of our events.

Photographs and audiovisual material will also be taken in which you are depicted as the central figure. We have a legitimate interest to make use of these photographs and 'audiovisual material in brochures, on posters and general marketing material and on the website of the event and IJzeren Man Vught (www.ijzerenman.nl) for the promotion and experience of the event and of the following editions thereof. You have the right to request the deletion of these photos up to 6 weeks after the event. To do so, you may send an e-mail to info@breakoutrun.nl indicating your name, first name, and the name of the event + edition in which you participated and indicating the photo or video involved. Proof of your identity may be requested.

The photos or audio-visual material will not be shared with partners or sponsors of the event, unless you have consented with such sharing.

Updates

This privacy policy was last updated on January 16, 2023. We regularly update the privacy policy in the context of the General Data Processing Regulation. If Breakout Run makes significant changes to this Privacy Policy, you as a user will be informed. In case of substantive changes, consent will be requested again (if necessary).
